BookBildr LLC (“BookBildr,” “we,” “us” or “our”) provides BookBildr for Education, an online platform that allows teachers, schools, families and students to create illustrated books, download books as PDF files, collaborate on projects and order printed copies.

This Privacy Policy explains how we collect, use, disclose and protect personal information when you visit edu.bookbildr.com, create or use a BookBildr account, participate in an educational group, contact us or purchase a subscription or printed product.

1. Who is responsible for your information?

BookBildr LLC is responsible for the personal information described in this Policy, except where we process student information solely on the documented instructions of a school or other educational organization.

2. Information we collect

Account information

When an account is created, we may collect:

  • Name
  • Username
  • Email address
  • Password in encrypted or hashed form
  • Account and group membership information
  • School, organization or group name
  • Role, such as teacher, administrator, parent or student
  • Subscription and account status

Students may join a group through an invitation or teacher-generated registration link. An email address may still be required for account access and sign-in.

Book and project content

We process content that users create, upload or share through BookBildr, including:

  • Written text and book titles
  • Uploaded images and illustrations
  • Book layouts and project settings
  • AI illustration prompts and generated images
  • Comments and teacher feedback
  • Projects shared with teachers or other authorized users
  • PDF files and print-ready book files

Book projects may contain personal information if users choose to include it. Users and supervising adults should avoid adding unnecessary sensitive information to books, comments or AI prompts.

Subscription, payment and order information

When you purchase a subscription or printed book, we may collect:

  • Billing name and address
  • Country, state or province and postal code
  • Subscription plan and payment status
  • Transaction identifiers
  • Order, printing, delivery and support information

Payments are processed by third-party payment providers such as Stripe and PayPal. BookBildr does not receive or store complete credit-card numbers.

Printed-book orders may be fulfilled by Lulu Inc. or another disclosed printing and delivery partner. Information needed to produce and deliver an order may be shared with that partner.

Technical and usage information

When you use the website or platform, we may automatically collect:

  • IP address
  • Browser and device information
  • Operating system
  • Login, security and activity records
  • Pages visited and features used
  • Error and diagnostic information
  • Cookie and similar technology identifiers
  • Approximate geographic location derived from the IP address

Communications

We collect the information you provide when you contact us, submit a form, request support or otherwise communicate with BookBildr.

3. How we use information

We use personal information to:

  • Create and manage accounts and educational groups
  • Authenticate users and maintain account security
  • Provide the book editor and save book projects
  • Allow users to share projects and receive feedback
  • Generate requested AI illustrations
  • Create downloadable PDF files
  • Process subscriptions and payments
  • Produce and deliver printed books
  • Provide customer and technical support
  • Send service, billing and security notices
  • Detect abuse, fraud and technical problems
  • Measure website use and diagnose performance
  • Improve the reliability and usability of BookBildr
  • Comply with legal, accounting and regulatory obligations
  • Enforce our Terms of Use
  • Protect BookBildr, our users and other people

Student information is not used for behavioural advertising, advertising profiles or unrelated commercial purposes.

BookBildr does not sell personal information or student information.

4. Schools, teachers and student accounts

A school, educational organization, teacher, parent or other group administrator may invite students to BookBildr and manage membership in its group.

The organization or plan owner is responsible for ensuring that it has appropriate authority to invite students and use BookBildr as part of its educational activities. BookBildr remains responsible for complying with the privacy obligations that apply directly to BookBildr.

Depending on the arrangement and applicable law, a school may control certain student information and BookBildr may process that information on the school’s behalf.

Schools may contact us to request a data-processing agreement or information needed for a privacy and security assessment.

Teachers do not automatically receive unrestricted access to all private student content solely because they own a group. Students may share projects with teachers through the platform so that teachers can open the shared project and provide feedback.

5. Children’s privacy

BookBildr for Education is designed to be used by children under the supervision and authorization of a school, teacher, parent or legal guardian.

Children under 13 may not independently create or use a BookBildr account. Their use must be authorized through an appropriate school-directed or parent-authorized arrangement.

Where a school authorizes use on behalf of a parent for a school-directed educational purpose, BookBildr uses student information only to provide that educational service and for no unrelated commercial purpose.

Where parental consent is legally required, the necessary authorization must be obtained before the child uses the Service.

Parents and guardians who wish to review, correct or delete a child’s information should normally contact the school or organization that provided the account. They may also contact BookBildr through our contact form.

We may need to verify a requester’s identity and authority before providing access to a child’s information or making changes.

If we learn that a child’s information was collected without the authorization required by law, we will take reasonable steps to delete it.

6. AI illustration features

BookBildr uses the OpenAI API to provide AI-generated illustrations.

When a user requests an illustration, the prompt and technical information necessary to fulfil the request are transmitted to OpenAI.

Inputs and generated outputs submitted through the OpenAI API are not used to train or improve OpenAI’s models.

Under OpenAI’s standard API data-retention practices, prompts and outputs may be retained by OpenAI for abuse and misuse monitoring for up to 30 days, unless longer retention is required by law.

Generated illustrations that users add to their books are stored by BookBildr as part of those book projects.

AI prompts should not contain:

  • A child’s full name
  • Contact information
  • School identification numbers
  • Health or disability information
  • Photographs or identifying descriptions of a child
  • Other confidential or sensitive information

AI-generated output may be imperfect, inappropriate or similar to material generated for other users. Teachers and supervising adults are responsible for reviewing AI prompts and generated images before they are included in a book or shared.

BookBildr does not use student book content, student AI prompts or generated illustrations for advertising or to train AI models.

7. When we disclose information

We may disclose information reasonably necessary to operate the Service to:

  • Hosting and infrastructure providers located in the United States
  • OpenAI, for requested AI illustration generation
  • Payment processors, including Stripe and PayPal
  • Printing and delivery partners, including Lulu Inc.
  • Email and customer-support providers
  • Google Analytics, for website usage measurement
  • Security, spam and automated-bot protection providers
  • Professional advisers, auditors and insurers
  • Government authorities when disclosure is legally required
  • A successor organization in connection with a merger, acquisition, financing, reorganization or sale of assets

These providers receive only the information reasonably necessary to perform their services and are expected to protect it appropriately.

Within an educational group, information may also be disclosed to the group owner, teachers or other authorized users when required to provide group membership, project-sharing and feedback features.

We do not publicly disclose private book projects unless the user intentionally uses a sharing or publishing feature that clearly provides for public access.

BookBildr does not sell personal information or student information.

8. Hosting and international data transfers

BookBildr’s website, application, databases and book projects are hosted in the United States.

Users’ personal information and book content are therefore transferred to and processed in the United States. Privacy and government-access laws in the United States may differ from those in the user’s country.

Other service providers, including OpenAI, payment processors and printing partners, may process information in the United States or other countries where they operate.

Where required by applicable law, we use contractual and organizational safeguards for international transfers of personal information.

Schools with specific data-location requirements should review this arrangement before creating student accounts.

9. Cookies and Google Analytics

We use cookies and similar technologies necessary for:

  • Account sign-in and authentication
  • Security and fraud prevention
  • Subscription and checkout functions
  • Remembering user preferences
  • Website and platform operation

We also use Google Analytics to understand general website traffic and how visitors use the website.

Google Analytics may process information such as:

  • IP address
  • Device and browser information
  • Pages visited
  • Referring website
  • Approximate geographic location
  • Date, time and duration of visits
  • Interactions with website features

BookBildr does not display third-party advertising and does not use Google Analytics information to create advertising profiles or deliver targeted advertising.

Where legally required, Google Analytics will be activated only after the visitor provides the necessary cookie consent.

Payment providers, automated-bot protection services and other necessary service providers may place their own cookies when their features are used.

Users can control cookies through their browser settings. Disabling necessary cookies may prevent account, security or payment features from working properly.

10. Retention and permanent account deletion

We retain account information and book projects while the account remains active and as necessary to provide the Service.

Users should download any required PDF files before cancelling a subscription or requesting account deletion.

When an authorized user asks BookBildr to delete an account completely:

  • The account is deleted immediately.
  • Every book project associated with that account is permanently deleted.
  • Uploaded images, text, layouts, comments and saved generated illustrations are deleted.
  • The deleted information is not retained in BookBildr backups.
  • The account and projects cannot be recovered or restored.

A complete account-deletion request is final and irreversible.

This deletion applies to information stored by BookBildr. Information previously processed by independent providers may remain for their own limited retention periods.

For example, OpenAI may retain API abuse-monitoring records for up to 30 days. Payment providers may retain transaction records as required by financial, fraud-prevention or tax laws.

BookBildr may retain the minimum transaction, invoice, tax or legal information that BookBildr is required to keep. Such records are maintained separately and cannot be used to restore an account or book project.

Cancelling a subscription does not automatically delete an account. Users who want both the subscription and account deleted must request complete account deletion.

11. Security

We use administrative, technical and organizational safeguards intended to protect personal information from unauthorized access, alteration, loss, misuse or disclosure.

These safeguards may include:

  • Access controls
  • Password hashing
  • Encrypted network connections
  • Security monitoring
  • Software maintenance and updates
  • Restricted administrative access
  • Measures intended to detect abuse and unauthorized activity

No online system can be guaranteed to be completely secure. Users are responsible for protecting their passwords and should notify us promptly if they believe an account has been compromised.

12. Your privacy rights

Depending on where you live, you may have the right to:

  • Request access to personal information about you
  • Request correction of inaccurate information
  • Request deletion of information
  • Withdraw consent where processing is based on consent
  • Object to or restrict certain processing
  • Request a portable copy of certain information
  • Ask how information has been used or disclosed
  • Appeal or complain about the handling of a privacy request
  • Submit a complaint to an applicable privacy regulator

We do not discriminate against users for exercising applicable privacy rights.

We may need to verify your identity and authority before fulfilling a request. Some rights are subject to legal exceptions.

Where BookBildr processes student information on behalf of a school, we may refer the request to that school or coordinate our response with it.

13. Email and service communications

We may send account, billing, security and service-related messages necessary to operate an account or subscription.

These messages may include:

  • Account-verification messages
  • Password-reset messages
  • Payment and subscription notices
  • Changes affecting the Service
  • Security alerts
  • Responses to support requests

Marketing messages will include an unsubscribe method where required.

Unsubscribing from marketing does not prevent us from sending essential account, transaction, subscription, support or security notices.

14. Links and third-party services

BookBildr may contain links to third-party websites or services.

Their privacy practices are governed by their own privacy policies. BookBildr is not responsible for the privacy, security or content practices of websites and services outside BookBildr’s control.

Users should review the privacy policies of external services before providing personal information to them.

15. Changes to this Policy

We may update this Privacy Policy when our services, providers, security practices or legal obligations change.

We will post the revised Policy on this page and update the effective date.

If a change materially affects how we use student or account information, we will provide additional notice where reasonably possible or legally required.
